Swapping a club site booking
I have a preCovid booking, for Trewethett, in August, I saw, on Friday evening, that there was some availability at Godrevy, and I would have liked to have swapped some of those Trewethett days for some Godrevy days. I was reluctant to swap myself, as I was nervous about losing both bookings. I then logged on to the chat line, hoping that a ‘professional’ would be able to do it, risk free. Although the chap was very helpful, he said that there was a risk, and I should contact the admin team on Monday. I knew that I would lose the Godrevy days. Is there anyway in which all of the operators might be given these powers? I know the sites were usually happy to help in these circumstances, but in these times, I think that they have more than enough to deal with. I guess I have to keep checking the booking site, and hope that an admin person will be there to do a risk free swap, if the days reappear. I remain Godrevyless in August, sadly. C

I've always thought the swap process is a little awkward too, and like Yetiowner, have always felt there is a risk in losing both bookings. When I next get the opportunity, I will ask the question at Club Council. I suspect the only answer at present is to ring in working hours and get an adviser to do it.

I would think whoever does it, the software wouldn't allow double bookings so they would have to first delete the unwanted days at Trewethett. If I am right you may as well gambled and done it yourself.
Perhaps someone in the know can advise for the future reference of all readers?

It could do with some sort of 'holding system's giving you time to book once you have cancelled a previously booked site. That could well be a very complex procedure and could very well take a disproportionate amount of time to achieve in relation to the number of times it would actually be used. I'll certainly ask the question..... when I am able...

Not that I would advise ringing a campsite at the moment but might one way round this, in normal circumstances, be to ring the new site and ask them to swap the booking over for you?
Perhaps the amendment screen needs to be changed to include a change of sites rather than dates?

Surely it can be done by ringing Godrevy direct, booking required days then ringing Trewethett Direct and cancelling said days

If you hover over the dates you want you should be able to see how many pitches are available on each particular day when the numbers are low eg five pitches left. If there's no indication it means there will be a reasonable amount available. Try it and see, you'll know whether you'll get the bookings needed.

When trying to do this when touring, the Warden advised me to do it myself, as they have no administrative authority to override a booking. For example if in the interval between cancelling and booking, someone online gets in and books the last pitch on the required site, you could lose your intended move AND if you very unlucky be unable to re-book the pitch you are on.
The Warden had had this happen to him whilst changing bookings for a customer who was onsite.
The customer was Very annoyed with him, understandably, but not the Wardens fault, just a weakness in the booking software, to stop double bookings by the same Member for the same date.

Not sure if it is officially allowed , but on i think three occasions( in normal times )have contacted the site we want to book with, and on the promise of us cancelling the previous booking ,they have given us the booking , ,we have done an on line cancellation immediately,
ps not on sites we have any conection with ,before some jump in

If the booking software was sufficiently sophisticated (fat chance), a new booking that overlapped an existing booking could produce a warning message " Your existing booking for days(x) will be shortened. Confirm?" It would then be relatively simple task.

I wonder if it is possible to speed up the booking process by the member having two windows open in their browser, one with the new dates selected and one with the confirmed old booking showing and ready to hit delete on it, and confirm on the new?

A really good idea, of course now you've said 4am...

Simplest thing to do is phone Trewethett Farm, and see if the Wardens are there. If they are, and you can confirm the Godrevy dates you want to swop to, and that there is a free pitch, they will simply use the system to do it for you.
It’s how we swopped a night at Hawes, for a night at Bolton Abbey. The Wardens did it for us.
Not so easy if there is no one at TF at the moment, but after 4th July you should be fine.

AS i posted some pages back .it depends on the site staff if they will do both, or expect you to cancel first
If JK is getting the site ready then i would think all wardens have come out of furlough and now working
I do understand that none if the volunteer staff are being used this year

We didn’t have any problems. The Wardens at Bolton Abbey were very helpful and said they were happy to do it for us.

Thank you for all of your comments and suggestions. I am pleased that I am not the only one aware of the problem. Getting up in the night to swap a booking is a possibility, if there is availability. I have been getting up at midnight, once a week, to book a grocery collection/delivery slot! Thanks again...hopefully the Godrevy site will have a space for us.
With kind regards

Hi
All staff on sites in England that are opening are back at work. Saying that we only get in the office occasionally as there's a pretty big job of work to do before the 4th to get the sites ready and covid secure.
To the op, I'd call either site and leave a message if you can. We'll always help if we can but like I mention it's a busy time for us at present to make sure we have a safe environment for you all.
I've worked at both sites the op mentions and I'd say hold on to your Trewethett booking as you can fill your holiday time there with plenty to do and see if you don't get in to Godrevy. Good luck

A Happy Ending,
At the moment, the sites are not dealing with bookings, understandably. Today, hurrah, I could see that the days that I wanted at Godrevy, had become available. I telephoned the Club Call Centre. A very pleasant lady swapped a few of my days. I am now, happily booked in for Trewethett, and Godrevy. Thank you to the kind lady at the call centre, and to your replies. Yippee!

On a few occassions I have achieved this by ringing the site concerned and the warden was able to do it , also changed from a non awning pitch to a service pitch same dates that became available by ringing the site and the warden did the move for me.
