When should you cancel a club site.
morning, I,m booked on at Rowntree Park York for this weekend, watching the weather and not looking good. should I cancel now or wait until Friday? Noticed there’s availability on the cmc booking service.

We have about 2 inches of snow this morning in York and its a white out at the moment. There were more empty pitches last night as I have ever known in over 20 years probably due to cancellations and members leaving early yesterday because of the weather. Despite that we have had a fantastic 3 days so far and more to go!

Please do not travel unless absolutely necessary - weather conditions are forecast to continue with snow and sub-zero temperatures for at least another 72 hours. Keep warm and check on vulnerable neighbours if possible.Reports coming in that the A59 Skipton to Harrogate road between Blubberhouses and Beamsley has been closed at approx 11:30pm due to heavy snow.... and other roads in the Y. Dales; Wensleydale/ Wharefdale and Malhamdale are becoming difficult and dangerous due to snow and ice....

Given the unusual conditions, you would hope the club would apply some common sense and allow members to make a decision as late as possible.

We were off to Chatsworth but cancelled yesterday, along with 50 or more others, if late availability is anything to go by. Apart from the likely access and safety issues, it is doubtful I would get the van out of the storage pound in these conditions. Last thing I want is to get it stuck partway. Booked some where else for two weeks time instead, as we were dissapointed to loose this first trip of the year. So CC have not even lost out.

The snow has stopped for the time being and the sun is out but there is now about 3 inches of lying snow on site. Looking at the late availability many have already cancelled for the weekend not just here at Rowntree but across the network. We are content to stay as planned until next week since we believe looking at the road reports locally its much safer to stay here and its warmer in the caravan than in the house last week.
We have been out in worse than this over many years of caravanning. Our worst ever weather was -12c when running a new year rally at Southport Pleasure beach and all the water taps froze even inside the buildings and 8 inches of snow friday/saturday night at Silverdale a few years earlier.
I would not travel today and if I was booked to leave I would try to stay longer till the roads improved.

The answer to the question is to cancel as soon as you know that you will not be going. If, having looked at all the available weather information, you feel things won't have changed much by the weekend cancel now. If you feel there is still a chance that you could go perhaps leave it a little later. It seems by the availability that you are unlikely to deny another member a pitch which is, of course, the whole point of the late cancellation rules. If you cancel late you will get an automated e-mail explaining the rules. Some people seem to get very annoyed at that but just accept it as part of the system. You just have to be careful about further late cancellations for the rest of the year.

Check the five day weather forecast, not just for your destination, but for your journey route as well. Check as far as possible and as late as possible your route in case of closures, accidents etc..... Think about what your vehicle is capable of in bad weather, and if you are likely to encounter issues. If you are confident you can get there, then plan well and go for it. It you have any doubts, then don't risk it. It will still be there next time. Don't worry about the 72 hours rules, the Club will understand and be more concerned you are safe. Best to cancel as soon as you decide though.
For what it's worth, it is bad across here, and it's still coming down. Chaos on A1 due to a jackknifed lorry at Catterick, which is only a current issue, will be sorted no doubt soon. Other roads are closed as well. Haven't checked M62 but it could very well be poor conditions. I think forecast is for snow to head further West later in week.

Anyone who needs to cancel inside the 72hrs should phone their sites direct the Warden will cancel the booking adding a note of unable to arrive because of the weather conditions. You may still get a email or letter from the club but it will have been noted & no further action will be taken.

Hi, i can't say when you should cancel. We are on Clumber Park at the moment see the photos and i wouldn't have canceled if i new i could get here? We are due to leave on Friday got to take Granddaughter to a pop concert in Manchester on Saturday not via Woodhead Pass though.

When should you cancel.. ??. As everybody has different levels of expertise and confidence when driving in snow, it is up to each individual to be their own arbiter of what they are capable of.( Personal risk assessment ).
What I will say is that if there is doubt in your mind about your abilities in the prevailing conditions you should definitely cancel.
Take no heed of any Emails from Grimstead Towers. They are just automated messages created by their IT system. Just phone the site direct and tell them you're not coming and why.

This is fine if you have still to arrive on site. However, during the bad weather in January we were on site at Stockton on Tees, booked and paid from Monday to Sunday. On the Tuesday what would have been our route home (M74) was blocked by snow. We kept an eye on weather forecasts and on the Thursday the Met Office issued an amber weather warning at lunchtime covering the M74 for the Sunday - the day we were due to travel. We decided to leave on the Saturday to be safe. We went to reception and were told that we were an hour too late cancelling (policy is 72 hrs) and the computer said no refund for Saturday night.

In this sort of weather I wouldn't worry about when to cancel. We're in York just now, we've got problems with frozen equipment. The site has plenty of room, the building works have stopped and there is a lot of lying snow. We will have to cancel our onward stop at short notice, we will either use it as a weather bolt hole or keep travelling tomorrow. I'm not going to worry about when I ought to cancel. Do what you feel is safest nearer the time.

What ever you decide RonnieM I'd do the decent thing and Ring The Site for information if I'm going there, and to let them on site know if I'm cancelling. East Grinstead 'knowing' is one thing but it is always good to tell them at the "Sharp End "

I’ve decided to wait until Friday, if roads are clear I’ll go for it . Confident enough to drive in snow , but if I decide to stay at home doesn’t sound like I’m depriving anyone of a pitch

We're at Poolsbrook CAMC Site and have stayed on because of the weather. I think that maybe the wardens have actually contacted members and put them off coming because of the weather - there is a small sloping road approaching the site which has potential for causing a problem if slippery. It may be worth contacting the site to see if they are still expecting you. If you decide side it's not safe to travel, I'm sure the Club would be understanding should you ring and cancel. This is extreme weather.

Just been looking on the other clubs forum,and a member on there is stating that the CMC are allowing cancellation within the 72 hr deadline without any comeback.

If you want an update Ronnie no snow overnight here at Rowntree Park but very cold and windy. All service points except one near amenities block frozen and site roads very icy and slippery. Main roads around city were all clear yesterday and well gritted. Bishy Road and Clementhorpe approach gritted but Terry avenue packed snow.
